Working as an Office Manager you will be:
Overseeing and coordinating our administrative operations in Germany on a part-time basis (4 days per week) ensuring smooth day-to-day office management, supporting accounting and HR processes, and acting as a key interface between the local team, headquarters, and external stakeholders.

You will be responsible for:

  • Mail Management:
    • Handling all incoming and outgoing mail and courier services
    • Confirmation of incoming goods reception in the ERP system
  • Telephone Reception:
    • Managing incoming calls and directing them appropriately
    • Acting as the first point of contact for general inquiries
  • Telecommunications Management:
    • Administration and coordination of company mobile lines
  • IT & Equipment Management:
    • Ordering and coordination of IT equipment
    • Liaising with IT service providers as needed
  • Office Supplies & Procurement:
    • Purchasing and managing office supplies
    • Ensuring continuous availability of required materials
  • Visitor & Office Coordination:
    • Organization and reception of visitors
    • General office coordination and facility-related support
  • Fleet Administration:
    • Management and coordination of leased vehicles
  • Accounting/HR Support (Germany):
    • Administrative support for internal and external accounting
    • Preparation and coordination of payroll-related documentation
  • HR Administration & Onboarding:
    • Coordination of onboarding processes for new employees
    • Preparation of employment documentation and workplace setup
  • Product sample Coordination:
    • Coordination and tracking of samples in close collaboration with Head Office

Background/Experiences:

  • Completed commercial training (e.g., Office Management, Business Administration, or similar qualification)
  • Several years of experience in an office management or administrative role
  • Strong organizational and multitasking skills
  • Experience working with ERP systems and MS Office applications
  • Fluent German and good English skills
  • Excellent written and verbal communication skills
  • Reliable, structured, and service-oriented working style with a high level of discretion

Salary: fixed 12 months
Part time: 4 days/week
