Customer Service Assistant – Sales Team (all genders)

Working alongside our customer service team in providing a class A support to our clients across the world your main responsibilities will be, but not limited:

  • Receive, record and ship sales and sample orders
  • Communicate with customers about their orders and shipping plan (order confirmation, lead times, delays, shipping method confirmation, Incoterms, pickup or shipment notification…)
  • Prepare and send shipping documents (packing list, invoice, Certificate of Origin etc.)
  • Coordinate order preparation with the logistics department and follow up the weekly preparation plan
  • Coordinate export documentation and letter of credit-related operations with various parties (banks, customers, carriers, chamber of commerce)
  • Track shipments, collect and archive transport documents
  • Take part in the return or assets management process due to commercial reasons or quality issues
  • Enter and update the customer database in the ERP
  • Record activity data for reporting purposes (transport, orders, etc.)
  • Contribute to the process of continuously improving sales and distribution procedures and the ERP system

About your profile

  • Degree or professional bachelor's degree in international business
  • At least 3 years + of experience in sales administrative support, delivery handling and order processing
  • Excellent time management and prioritization skills, with the ability to work efficiently in a fast-paced environment meeting tight deadlines
  • Structured, independent, and able to handle multi-tasking, customer focused
  • Team spirit, and adaptability in a fast-growing company
  • Good written/spoken English and French
  • Good MS Office (Outlook, Excel, Word, PowerPoint) skills and ERP skills
